based record-keeping or other electronic alternatives, our product works offline, is simple
to set up and requires no technical knowledge to operate.

This manual is intended to be used by the Student Management System Software end-
users that accompany this document. The user is expected to have a basic working
knowledge of computer programs.

2 User interactions
The overall user flow is as follows.
i. The user logs into the system using the username and password given to him/her by the
system administrator of their institution.
ii. After logging in, the user is expected to create a class in the school.
iii. After creating the class, the user can then enter students or staff in any order. A class
must exist before entering the student or staff information.
iv. After creating the class, the user can then enter Staff information. A staff is associated
with a class so a class must exist before this step.
v. After creating the Staff information, the user can then enter information about a course.
Each course belongs to a Class and is taught by a Teacher (The main teacher responsible
for the course). Therefore, a Class and Teacher must exist before entering information
about a Course.
vi. The student grades as well as their report card can then be entered when all of I V is
done.
vii. The student fee receipt can be obtained after I-III is done.
2.1 How to login
You receive the login information from your school administrator. This can be from the owner of
the school or from the person who helped install this product on your computer.
2.1.1 How to start the application
Double-click or right-click on the application icon to start the application.

2.2 Class Management
2.2.1 How to add a class
Open the form to add class by clicking on “Class Management” then “Add Class”

Save the class or clear the input
Note that clearing the input erases everything and you will need to re-enter the information.
The information is only saved when “ADD CLASS” is clicked!
Enter the form data and click “Add Class” to add the class. A confirmation will show like this below.
The constraints for a class are as follows
It must have a name and the name must be unique. No duplicate class names.
The capacity of the class must be a number greater than zero (0).
The expected fee must be greater than zero (0).
The academic year cannot be empty.

2.2.2 How to edit a Class
Click on “Class Management”, then “Edit Class”
To edit class information, the user needs to know the id of the class. The “id” is auto generated
when a class is created. You can see the id of the class by viewing all the registered classes in the
system (described 2.3.4 below)

If a valid class id is entered into the search box, the corresponding class is retrieved and shown
for editing. All parameters are editable but follow the same constraint for a class as defined in
2.2.1 above.

2.2.3 How to View All Classes in the system
The user can view all classes in the system by opening “Class Management” and then “View All
Classes”. The result is as follows

A single record in the table can be updated by selected a row in the table and clicking on “Edit” or
by double-clicking. This will automatically open the view to edit the class like 2.2.2 above with
prefilled information.

2.3 Student Management
The user can add new students, update them or delete them.
2.3.1 How to Add a student
Before adding a student, make sure that a class is already registered into the system.
Go to “Student Management” then “Add Student”

The form in Figure 11 above, allows the user to enter information about the student as well as
information about the student’s guardian. The mandatory properties of a student are as shown
in the Figure 12 below. This figure is obtained by clicking on “REGISTER” on the empty form!

Guardian information is optional for the student. After entering the mandatory fields, the
following confirmation is obtained when the user clicks on “REGISTER”

2.3.2 How to Update
Go to “Student Management” then “Update Student”
The user needs to know the student’s unique id before updating or deleting a student. This
information is easily obtained from the table showing all the students in the system (see 3.3.3
below).

Given a correct id, the user can now update or print information about their fee or report card
information.
Enter the updated values and click on update. The same constraints for student information as
specified in 2.3.1 applies.

2.3.3 How to print student fee receipt
Clicking on the Fee Receipt” triggers the printing of the student fee information in a formatted
manner as shown below. The printout can be saved as pdf or printed using your office printer if it
is already connected to the computer.

If you click on the red-circled button button, then you get to choose the folder, the name of the
file as well as the format. The image in Figure 18 below saves the student information displayed

in Figure 16 above in the folder sms-receipts with the name of johndoh and the type PDF(‘.pdf).
It will be saved as jonhdoh.pdf. This can be sent to the student by email or other electronic media
or printed later or achieved.

2.3.4 How to view students’ information
To view all students in the system, go to “Student Management” and then “View All Students”

The figure above lets the user search a student by name (Figure 21) or by student id (Figure 20),
print all the records (Figure 19) or view only students from a specific class (Figure 22). Editing a
student follows the same procedure as editing a class (select, then “Edit” -> edit the student) (See
3.2.3 above).

2.3.5 How to print all students
In the Student list view shown in Figure 19 above, click on “PRINT” to get a view that allows you
to print the student list using your office printer connected to the computer or save it as pdf as
described in 2.3.3 above.

2.3.6 How to export student information to excel
On the Student view (Figure 19 Display a list of all students in the system or Figure 22 View
Students from a class), Click on “Export to Excel”. The data that is displayed shall be exported to
the Desktop in a folder called “FeeManagementSystem”. This folder is created automatically for
the first time that the user exports to excel! Subsequent exports will be saved there.

2.3.7 How to Edit a student record
On the Student view (Figure 19 Display a list of all students in the system or Figure 22 View
Students from a class or Figure 21 Search student by name), double click on the student record to
go to the Edit student view or just select the student row and click “Edit” to go to the Student Edit
view. You can also edit the student by clicking on “Student Management” and then “Edit Student”.
Using this latter approach requires that you know the student id of the student. The student id
can be retrieved from the “View All Students” table (See Figure 19 Display a list of all students in
the system).

From this view, one can print the fee report or student report card. See 2.6.2 below for more
information about printing report card.

2.4 Staff Management
Staff Management follows the same steps as in Class management and Student Management.
Please refer to those sections if it is desired to manage staff information.
2.4.1 How to add a staff
Go to “Staff Management” then “Add Staff” to add a staff. Obligatory fields for staff are first name,
last name, username (max 6 letters), national identification number, qualification, salary, and
class.

2.4.2 How to update staff
Go to “Staff Management” then “Edit Staff”. Search the staff by id then click on “UPDATE” or
“DELETE” if you want to update of delete, respectively.

2.5 Course Management
This section allows the user to add, edit or view all courses registered in the system,

2.5.2 How to Edit a course
Go to “Course Management” and then “Manage a course”. Then search a course by name or id
to edit the information about the course.

2.5.3 How to View all Courses
Go to “Course Management”, then “List all Courses”. This will display all the courses in the system.
In the same view, the user can view courses by academic year, class or view just one course by
searching the course name. Notice that the same course name can be registered for different
classes. Failure to do so will result in errors trying to register student grades. See 2.6.1 below.

2.6 Grade Management
This section allows the user to enter student grades as well as print out student report cards. The
grade can only be entered when all the other entities (class, student, staff and course) are present
in the system.
2.6.1 How to enter student grades
Go to Grade and Report Card” and then “Grade Registration” and enter the grade for the student
and term.

Search for a student by the student id (See student id from 2.3.4 above). If the student is found,
then the teacher’s name, and class will be automatically filled out. Select the course and add the
grades for the first and second assessments as well as the exam for the term. By default, these
values are set to 0.
To enter or update the grade information for a course, choose the course from the course list and
then enter the values. The system automatically checks if there is assessment for the course for
that student and term. If there is already an assessment previously registered for this course and
student for the term, then the values entered will be considered as an update.

2.6.2 How to print out student report card
Go to “Grade and Report Card”, then “Generate Report Card”. Search a student by id (See student
ids in 2.3.4 above). The name of the student will appear in the box to the right.

Click on “PRINT REPORT CARD” to generate a similar view as in 2.3.5,2.4.3 above. Follow the
instructions detailed in 2.3.3 above to print the report card or save as pdf.

Report card statistics, and remarks are automatically calculated based on the school’s criteria. The
above remarks are taken from one of our customers’ requirements so yours can be different.

2.7 How to print out the Class Term Report
Starting version 2.0.11 of the software, it is now possible to print out the list of students in a class
alongside their averages. To do so, go to “Grade and Report Card” > “Class Term
Report”. The list of student reports will be displayed which is sortable by class, academic year,
term, or student name.

From the view in Figure 52, click on “PRINT” to get a printout of the list the is currently in view.
This can then be saved as .pdf or printed with your local printer following the same procedure as
in 2.3.3 above.

2.9 Logout
This will log the user out of the system and return to the login page. This is good if the user wants
to step out of his/her desk and wants to prevent unauthorized access.
